Bearbacker Minutes of Monthly Meeting
August 3, 2015

 
Rich Anderson called the meeting to order at 7:05 pm.

Minutes: Vicki Sparks motioned to approve the minutes of July 6, 2015 and the motion was seconded by Kathy Miller. Members present: 29

Treasurer’s Report: Stephanie Hood reported a balance of $29846.39. See attached. Kathy Langlois motioned to accept the report and Marilyn Bond seconded the motion.

Committee Reports:

Merchandise: Vicki Sparks stated that a recent sign-up genius went out. She asked that members only sign up for events that you can work the entire allotted time. She asked that you contact her if you did not get the Sign up Genius email.

Scholarship Fundraising: Toni Masich reported that the fall Bentwater Golf Tournament is on October 18th and the Running of the Bears is on April 2nd. Jay Issac is the chairperson for the fall Golf Tournament. If the course is not open due to the repairs, then the tournament will be held on Miller.

Programs: Rich Anderson reported for Diane that the program sales ar 3/4 to the goal. The deadline for all ads is August 15th.

Membership/Scholarship Selection Committee: Madeline Vernuccio reminded all members to keep track of their meetings and volunteer service dates. She asked when signing in to please only update the phone # and email address if they have changed.

Old Business: No Old Business

New Business: Budget will be reviewed and approved at our next meeting. The possibility of a Spring Golf Tournament was discussed as we are expecting 60 scholarships for this large graduating class.

Coach Heard’s Report: Coach Heard reported that MHS teams are preparing for the start of the season. Meet The Bears is on August 14th, Football starts on the 10th, Volleyball has started, Cross Country is started and tennis. He reminded everyone to have their athletes drinking water as it is HOT. They are spending a lot of time planning the renovations on the schools. Remind your neighbors about PAPF. We have several new coaches.
Jennifer Nickerson asked for Donations to the Silent Auction for Meet The Bears. Contact her for more information.

Scholarship Recipients: Scholarship recipients Trey Anderson thanked Bearbackers for his scholarship award. He will be studying Physics (Astro Physics) at Texas A & M University.

July 6, 2015

Minutes: Steve Stowers motioned to approve the minutes of June 1, 2015 and the motion was seconded by Kathy Miller. Members present: 14
Treasurer’s Report: No Treasurer’s report

Committee Reports:

Merchandise: Madeline Vernuccio reported for Vicki Sparks. Watch for sign up genus by email. This will be the only way to sign up for merchandising volunteer events.

Scholarship Fundraising: Toni Masich reported that the fall Bentwater Golf Tournament is on October 18th and the Running of the Bears is on April 2nd. There is a possibility of a spring tournament due to the fact that Bentwater is re-building the greens.

Programs: No programs report.

Membership/Scholarship Selection Committee: Madeline Vernuccio reminded all members to keep track of their meetings and volunteer service dates. Scholarship packets will be available on 2/19/16 in the counselor’s office and will be due 4/1/16 at 9:00 am in the counselor’s office.

Coach Heard’s Report: Coach Heard reported that Coaches will be speaking to all parent representatives and each sport will have a representative. Work is progressing on the fields and the planning of the new high school/renovation to MHS is moving forward. MHS teams held their own during the first year in 6A. During the month of February, the districts will have re-alignment. Coach Heard thanked all of the members for all of their support

Scholarship Recipients: Two scholarship recipients Austin Haas and Jordan Miller thanked Bearbackers for their scholarship awards. Austin Hass will be studying History at Texas A & M University. Jordan Miller will be studying Finance and Business at Texas State University.

June 1, 2015

John May called the meeting to order at 7:06 pm.

Minutes: John May motioned to approve the minutes of May 5, 2015 and the motion was seconded by Steve Stowers. Members present: 12

Treasurer’s Report: Stephanie Hood reported a balance of $25,347.98. See attached. Steve Stowers motioned to accept the report and Pandora Pickne seconded the motion. It was unanimously approved.

Committee Reports:

Scholarship Fundraising (Golf Tournament/ROTB): Toni Masich reported that the Bentwater Golf Tournament may be moved to the to the Spring and talked about a fall tournament in Woodforrest.

Membership/Scholarship Selection Committee: Stephanie Hood reported for Madeline Vernuccio that 36 athletes applied and 35 scholarships were awarded. See attached list. Scholarship recipients should look in their packet for instructions on how to receive their funds. The new membership registration form is available on the school and Bearbacker website. From this year forward all graduating classes will have to serve all four years to qualify to apply for the scholarship. Stephanie reminded all members to keep track of their meetings and volunteer service dates.

Old Business:
We are in need of a Parent Sports Representative. Serving in this position will count for volunteer activities.

New Business:
No new business.

Rich Anderson  called the meeting to order at 7:05 pm.

Minutes: 
Vicki Sparks motioned to approve the minutes of Jan. 5, 2015 and the motion was seconded by Diana Edmiston.  44 members present.

Treasurer’s Report:
Stephanie Hood reported a balance of $55,58339.  See attached. Robin Lauer motioned to accept the report and Kim Talbert seconded the motion.  Unanimously approved.

 Merchandise: 
  •       Sign Up Genius will now come in from BearBackersevents@yahoo.com
  •       1 cancelation for the Basketball game on Feb. 3. 2015.  Call Vicki Sparks if you can fill in. 
  •       Feb. 28th is opening day at Montgomery Little League.  This is a sign up genius opportunity. 
  • Preorders for MVP shirts will be taken now through Mar. 7th.

  • Lee Wernli is continuing to look for candid pics of  athletes to put in the photo album on website.  Send them to a board member and we will get them to her for posting.  Also if your child signs a letter of intent let us know so that can be placed on the website as well.

John May called the meeting to order at 7:00 pm.

Minutes:  Kathy Miller motioned to approve the minutes of Nov. 3, 2014 and the motion was seconded by Laura Chandler.  18 members present.

Treasurer’s Report:   Stephanie Hood reported a balance of $63,473.36.  See attached. Madeline Vernuccio motioned to accept the report and Adela Gardwin seconded the motion.  Unanimously approved.

ROTB: 
  • Title Sponsors are in place.  Volunteer positions still open.  Pre race Administrator-someone who can make phone calls and do administrative tasks during the work day.  Volunteer Coordinator will keep track of volunteers needed and in what positions for race day.  Marketing person to help get the word out about the race and the date as well as info related to the event.  If interested contact Rich Anderson.  Locally owned businesses are needed for sponsorships.  We wanted to increase this aspect by $7,000 or $8,000.
 
 
Old Business:

            School bond will be coming up for a vote in May to improve district.  Improvements will be made to buildings, technology, athletic fields, as well as new schools.  Need new stadium, Jr High, HS, and Elementary School.

Bearbacker Minutes of Monthly Meeting
September 8, 2014
 

John May called the meeting to order at 7:10 p.m.

Minutes:  Diane Edmiston motioned to approve the minutes of July 7, 2014 and the motion was seconded by Shannon Johnston.  43 members present.

Treasurer’s Report:  Stephanie Hood reported a balance of $40,916.70.  See attached. Vicki Sparks motioned to accept the report and Laura Chandler seconded the motion.  Unanimously approved.
 
Committee Reports:
 
 Merchandise: 
  • Mother of Varsity Player t-shirt will be sold on preorder only.  There will be one order placed in the Fall and one in the Spring.  Deadline for Fall order is Sept. 15, 2014.  They will be delivered at Homecoming. 
  • All events will be placed on Sign up Genius.  If you are not getting notices of events, send Vicki Sparks an email and she will add you.  
  • Thanks to all who helped with merchandise at the 1st football game especially those that stayed and helped to load her van. 
  • We will be selling merchandise at the MIS Extravaganza on Nov.1,2014 at the KOA.
 
Scholarship Fundraising
  • Golf Tournament - October 19, 2014 at Bentwater CC.
  • Brochures are at the front table if you want to sponsor a team or a hole.
  • Rick Adams heading up the Silent Auction again this year.  Get with him if you want to be part of this team.  It will count as two events.
  • Angie Hance introduced Jay Isaac.  She is helping Angie with the tournament this year and taking it over next year.
  • Sport team baskets will be due on October 12th
  • There will be a mini silent auction at the home football game October 10th.
 
Programs:  
  • Sold out at 1st football game
  • Sold over $30,000 in ads
  • Diane Edmiston has agreed to do the program again next year.
 
Membership
  • Madeline reported that Lifetime memberships are now $250.00.

  • Membership for Fall sports will close October 31st
  • Gave out 50 scholarships in 2013-2014.
 
Scholarship Selection Committee:

Running of the Bears: 
  • Rich Anderson announced that the ROTB is tentatively scheduled for March 28th
  • Committees will start forming next month.
 
Old Business: 
  • Donated about $43,000 to Athletic Department last year for various projects. 
  • Gave out $50,000 in scholarships
  • We are growing and our fundraising efforts are too
  • All made possible by our members…Thank You!!!!
 
New Business: 
  • Golf Tournament discussed earlier
 
Announcements:  
  • Coach Heard thanked BearBackers.  Contributions helped all sports and has a direct effect on all student athletes.  Recapped sports:  over 2,300 kids at our high school.  Class sizes are 650-700.  Demographics shows the district is and will continue to grow in the future. 
  • Football 2 wins, playing Aldine which is very good.
  • VB-very young team and experiencing growing pains.  Girls are working hard and are positive
  • X country- survived Moonlight Madness-  our kids ran well.
  • Tennis-1-0 in district
  • We can now eat food in the gym during games.
